Helpful Tools for Race Committee (Tool List)

This page has been put together to assist you in the things you need to do for race committee.  The primary purpose is to provide the most current forms that are required.

2010 Sailing Instructions    &  2010 Courses

Every BBYRA boat must be properly registered and current with annual dues.   A PHRF boat must have a current PHRF certificate.  Any boat not meeting these requirements of registration May be protested.

Do not print the Scratch Sheets out earlier than 48 hours as the rating may change.

It is the sailors responsibility to fly the appropriate class pennant and to inform race committee of any discrepancy in registered sail numbers, whether it be that a number fell off or they are sailing with different numbers on any one of their sails.  Race committees do not have to score them if they were not informed. The 2009 PHRF Scratch Sheet lists the boats by class including their rating information.  It might be a good idea to print out a copy of the Southeast Florida PHRF Current Ratings to have on hand for verification and inquiries.   The 2009 One Design Scratch Sheet is used for check-ins and manual scoring if necessary.

The primary scribe can start filling out the  Race Committee Log  identifying job assignments.    The  Recorder's Log is to record pertinent information provided by the PRO at any time prior, during and while finishing the race.  

Both the Signal boat and all the Mark boats will need several set of the following:

 Wind Chart Sheets - The Mark boats should constantly advise the Signal boat of wind speed and direction; the Signal boat is also recording the same at their location to determine a fair and proper course to be sailed and any adjustments to the course.

Mark Rounding Sheets  (remember you should record the times of the first and last boat round the mark),  
and

One Design Finish Sheet OR PHRF Finish Sheet.   On the finish sheet for PHRF classes you will circle the column that applies to the correct finish position and record any notes/penalties in the comments section.  

The Signal boat also needs to fill out the Signal Boat Summary  upon returning to the dock and immediately post their docking time for protest.  The summary should also list any incident that requires action.  The Scorer needs to make a copy of the finish times as recorded and post to the notice board  and FAX to each member club using this Preliminary Results and Docking Time Form when you hit the dock, then continue to score the race.  This gives the sailors the opportunity to identify any potential problems in recorded finishing times and corrections can be made before the TROPHY presentations.  It is your responsibility to make sure the PHRF ratings are correct, this info comes from the Scratch Sheet and the SE PHRF ratings list.  The SE PHRF ratings list prevails over the Scratch Sheet should there be a discrepancy.  It is preferred that the paperwork for each race be filed in a large envelope labeled with the regatta description; it would be really nice if it was signed by the PRO verifying the completeness of the contents.  Please make sure that Cindy gets the backup along with the results diskette.

Make sure you have included in your forms a US Sailing Protest Form.  Often times sailors arrive in time to file but do not have the correct form.  Hopefully you have lined up qualified people to hear any protest that may arise in advance and that they have all the props needed.  DO NOT HOLD UP THE TROPHY PRESENTATION FOR CLASSES NOT INVOLVED IN PROTEST.  If the deliberations in the protest room are taking too long and causing the natives to get restless, you should proceed with the awards for the classes involved with the preliminary results and let them know the final results will be posted to the web later.  They can re-distribute the trophies if necessary.
